This Refund Policy explains how refunds are handled for services provided by Dentostack. By subscribing to or purchasing any of our services, you agree to this policy.
1. Patient Management Software (Subscription Plans)
Dentostack offers subscription plans on a monthly, quarterly, and yearly basis.
1.1 Monthly Plans
- Monthly subscriptions are non-refundable.
- You may cancel at any time to avoid future billing, but no refunds will be issued for the current billing period.
1.2 Quarterly and Yearly Plans
Full Refund Window (First 15 Days)
- You may request a full refund within fifteen (15) calendar days of the initial purchase.
No Refund Period for New Clinics (First 3 Months)
- For clinics that are newly onboarded, refunds are not available after the first 15 days during the first three (3) months of service.
Pro-Rata Refund After Eligibility
After the initial period (where applicable), refunds for quarterly and yearly plans may be issued on a pro-rata basis.
Refund amount is calculated as:
Refund Amount = Total Amount Paid − Value of Services Used − Cost of additional benefit provided.
Where:
- Service usage is calculated based on the applicable monthly subscription rate.
- Any partial month of usage will be counted as a full month.
- Promotional discounts, onboarding incentives, or special offers may be deducted.
Dentostack reserves the right to verify eligibility before processing refunds.
2. Google Business Profile (GBP) Management
- No refund will be issued for the current active month once work has commenced.
- Any advance payment for future months not yet started will be refunded in full upon cancellation.
3. Google Ads Management
- If Dentostack is unable to run advertising campaigns due to technical or platform-related issues attributable to Dentostack, a 100% refund of the management fee will be issued.
No refund will be issued in the following situations:
- Campaigns have been executed as agreed.
- Performance outcomes such as leads, conversions, or return on investment do not meet expectations.
- Changes in market conditions, competition, or ad platform policies affect results.
Ad spend paid directly to advertising platforms (e.g., Google) is non-refundable and subject to the platform's own policies.

5. Processing Time
Approved refunds are typically processed within a reasonable time and may take several business days depending on payment providers.

Dentostack may update this Refund Policy from time to time. Continued use of services constitutes acceptance of the updated policy.
